Privacy Policy
1. Who we are
Mentorise is an early-stage mentoring service operated by an individual sole trader based in the United Kingdom, trading as Mentorise. For the purposes of UK data protection law, that sole trader is the data controller for the personal data described in this policy.
You can contact us about anything in this policy by email at hello@mentorise.co.uk. If you need a postal address for a formal notice, ask us by email and we will provide one.
We are not currently registered with the Information Commissioner’s Office. If our processing grows to the point where registration is required, we will register and add our registration number here.
2. What we collect
Information you give us
When you submit the “Apply to join” form on this site, we collect your first name, your email address, your answer to the question about what you want your life to look like along with any other free text you choose to enter, and the name of the person who referred you if you provide it.
The form is handled by our own script running on our hosting. Each submission is emailed to our Mentorise mailbox and saved to a private file on the hosting account that cannot be reached from the web. We also record the IP address the submission came from and the time it was received, so that we can detect spam and abuse. If you email us afterwards, we keep that correspondence and the information in it.
Information collected automatically
This website is hosted by Hostinger, whose servers record technical information in access logs whenever a page is requested. That information typically includes your IP address, your browser type, the page you requested, and a timestamp. We use it only for security, for diagnosing faults, and for understanding overall traffic levels, and we do not use these logs to build a profile of you.
We do not run analytics scripts, advertising pixels, session recording, or third-party trackers on this website.
3. How we use it
We use the information you give us to review your application and decide whether to offer you a place in the Mentorise beta, to contact you about the outcome of your application and your place in the waitlist, to reply to messages you send us, to understand demand for the service and how people are hearing about it, and to keep the records we need for our own legal and accounting purposes.
We do not sell your personal data. We do not send marketing emails to people who have only submitted the application form, beyond messages about their application, and, once you are a member, messages about the service itself.
4. Legal bases for processing
Under UK GDPR we rely on the following legal bases.
- Consent, when you choose to submit the application form and ask us to consider you for the beta. You can withdraw your consent at any time by contacting us using the details in section 13, and withdrawing it does not affect processing we carried out before you withdrew.
- Legitimate interests, for operating and securing the website, understanding demand for the service, keeping basic business records, and communicating with applicants about their applications. We have considered your rights and freedoms and we do not believe this processing overrides them.
- Legal obligation, where we have to keep or disclose information to comply with the law.
5. Who we share it with
We share personal data only with the service providers who process it on our behalf, and only as far as they need it.
- Hostinger (Hostinger International Ltd) provides the web hosting and email for mentorise.co.uk. Your form submission, the notification email, the stored backup of submissions, and any email you send us all sit on Hostinger infrastructure, and Hostinger also processes the server access logs.
- Google receives a copy of application notifications, because the Mentorise mailbox forwards them to a Gmail inbox we use to read applications. Your browser also requests fonts from Google Fonts when it loads our pages, which sends your IP address to Google. We receive nothing back from the font request and do not control it.
We may also disclose personal data if the law requires it, if we need to establish or defend legal claims, or if the Mentorise business is transferred to another operator, in which case we will tell you.
6. International transfers
Our hosting and our primary storage of submissions are within the EU and UK. Because we forward application notifications to a Gmail inbox, and because your browser loads Google Fonts, some data reaches Google, which operates globally. Where data is transferred outside the UK we rely on the safeguards Google puts in place for international transfers, such as the UK Addendum to the EU Standard Contractual Clauses or an equivalent approved mechanism. 7. How long we keep it
Applications that we decline, or that go inactive, are kept for up to 12 months so that we can reconsider you and detect duplicate applications, and then deleted. Applications that we accept are kept for as long as you are a member and for a reasonable period afterwards. Email correspondence is kept for up to 24 months unless it forms part of a member record. Server logs are retained for the period set by our host, which is typically a small number of weeks.
8. Cookies and tracking
This website does not set its own cookies and does not use analytics or advertising cookies. The only storage the page uses is temporary in-memory state for the demo chat, which is discarded when you close the tab. If we add analytics or other cookies in future, we will publish a cookie notice and update this policy before we do.
9. Your rights
Under UK data protection law you have the right to ask for a copy of the personal data we hold about you, to ask us to correct data that is inaccurate or incomplete, to ask us to delete your data, to ask us to restrict or object to how we use it, to ask us to transfer it to you or another provider where that is technically feasible, and to withdraw consent at any time where we rely on consent.
To exercise any of these rights, email hello@mentorise.co.uk. We will respond within one month, and there is normally no charge.
10. Security
We take reasonable steps to protect your data. We use reputable providers, protect accounts with strong authentication, keep application data out of any web-accessible location, and limit access to the people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Age of users
Mentorise is intended for people aged 18 and over, typically university students and graduates. It is not directed at children, and we do not knowingly collect data from anyone under 18. If you believe a child has submitted information to us, contact us and we will delete it.
12. Changes to this policy
We may update this policy as the service develops. When we do, we will change the “last updated” date at the top, and if the changes are significant we will make reasonable efforts to tell applicants and members directly.
